The Screen That Didn’t Know What Just Happened

A staff member opens a batch of thirty invoices and starts working through the flagged ones. At the same time, the firm owner - on a different laptop, in a different room - opens the same batch to spot-check a few before the filing deadline. The owner approves an invoice. The staff member, still looking at their screen, has no idea. They click into that same invoice a minute later to fix a line item, working from a version of the truth that’s already gone stale.

Nobody did anything wrong. The system just didn’t tell either of them what the other one was doing.

Why “Just Refresh the Page” Was Never a Real Answer

The obvious workaround is to have people refresh manually, or to poll the server every few seconds and hope the timing works out. Both are really the same bet: that no one will look at stale data in the gap between refreshes, and that everyone remembers to refresh before acting. On a slow day that bet pays off. During a filing deadline, with three people pulling from the same batch, it doesn’t - someone approves something already approved, or edits something that’s already moved on, and the fix costs more than the polling ever saved.

Polling harder isn’t the fix either. It just trades one problem for another: hammering the server every few seconds for changes that, most of the time, haven’t happened.

What We Set Out to Build

Instead of guessing when to check for changes, every workspace needed to be told the moment something actually changed - and only the people who should see it.

A firm’s data had to update everywhere it was open, not just on the screen where the change happened. An approval, a new document landing, a batch getting processed - all of it needed to reach every connected screen for that firm.

Staff had to see what the owner sees, and vice versa. A firm owner and their staff are working the same book of invoices. If one of them changes something, the other can’t be looking at last-minute-old data and calling it current.

It had to stay quiet under load. A batch import can trigger dozens of changes in a few seconds. Firing a full page reload for each one would make the workspace less usable, not more - so nearby changes needed to collapse into a single update instead of a flood of them.

Only the right people get told. A change in one firm’s workspace has no business reaching another firm’s screen, so who gets notified had to follow the same account and staff boundaries as everything else in the product.

How Invozen Actually Handles This

  1. Every signed-in screen holds an open, live connection to the workspace, not a periodic check-in. The moment you log in, your screen is listening for changes, not polling for them.
  2. Changes are scoped to the firm, not broadcast to everyone. A firm owner and their staff share one live channel; a change either of them makes reaches the other automatically, and nobody outside that firm sees so much as a notification.
  3. A burst of changes gets collapsed into one refresh, not one per change. If a batch import fires off a dozen updates in two seconds, the workspace waits a beat, then refreshes once with everything included - instead of redrawing the screen a dozen times.
  4. If the connection drops - a laptop sleeps, a network hiccups - it reconnects on its own. Nobody has to notice they’ve gone quiet and manually reload to get back in sync.
  5. Notifications ride the same live channel, so an unread count or an alert updates the instant something happens, not the next time you happen to reload the page.

What This Means for You

Two people can work the same batch of invoices at the same time without either of them acting on a version of the truth that’s already out of date. The owner approves something, and the staff member working the same batch sees it change on their own screen without touching refresh. Nobody has to develop a habit of double-checking whether their screen is current - it already is.
